Merge and Memorialize
Merge duplicate horse records and mark horses as deceased.
Over time you might end up with duplicate horse records, especially when using AI document scanning that creates new horses from extracted data. HorseBook provides tools to merge duplicates and to respectfully record when a horse has passed.
Merging Duplicate Horses
If the same horse exists as two separate records, you can merge them into one:
- Open the horse profile you want to keep as the primary record
- Click Merge from the actions menu
- Select the duplicate horse to merge in
- Review the combined record — HorseBook shows you which fields will come from each record
- Confirm the merge
What happens during a merge
- All records from both horses (medical, documents, expenses, contacts, events) are combined under the primary horse
- Fields from the primary horse take priority, but any empty fields are filled in from the duplicate
- Photos from both horses are combined into one gallery
- The duplicate record is removed after merging
Warning
Merging cannot be undone. Double-check that you're merging the right horses before confirming.
Memorializing a Deceased Horse
When a horse passes, you can mark them as deceased rather than deleting their record. This preserves their full history while clearly indicating their status.
- Open the horse's profile
- Click Mark as Deceased from the actions menu
- Enter the date of passing
- Confirm
What changes after memorialization
- The horse's profile shows a memorial indicator with their date of passing
- The horse is filtered out of active horse lists by default (toggle the status filter to include deceased horses)
- All existing records (medical, documents, expenses, calendar events) are preserved
- The horse still appears in lineage connections (as sire or dam) for other horses
- No new scheduled events or reminders are generated for the horse
Tip
You can undo the deceased status if it was set by mistake. Open the horse's profile and select Mark as Active from the actions menu.
