Store, organize, and manage all your equine and farm documents in one place.

HorseBook provides a centralized document hub for all the paperwork that comes with owning and managing horses. Upload documents, associate them with horses, and access them whenever you need them.

Supported Document Types

Horse-Specific Documents

  • Coggins — the EIA test required for transport and events in most states
  • Registration — breed registry papers
  • Health Certificate (CVI) — Certificate of Veterinary Inspection for interstate travel
  • Brand Inspection — proof of brand registration or inspection
  • Genetic Test — DNA or parentage verification results
  • Insurance — equine insurance policies
  • Purchase Agreement — terms of sale for a horse
  • Bill of Sale — proof of ownership transfer
  • Lease Agreement — terms for leasing a horse
  • Liability Waiver — liability release forms

Farm-Level Documents

  • Business License — farm or business operating licenses
  • Farm Insurance — property and liability insurance for the farm
  • Tax Documents — tax-related records
  • Boarding Contract — agreements with boarders

Uploading Documents

  1. Navigate to the Documents section
  2. Click Upload Document
  3. Select a file from your device (PDF, JPEG, or PNG)
  4. Choose the document type
  5. Assign it to a horse (or leave it as a farm-level document)

Tip

For faster uploads, use Smart Upload to let AI automatically classify your document and extract key fields like dates, names, and expiration information.

Organizing Documents

Each document is associated with either a specific horse or your farm. You can browse documents from:

  • A horse's profile — shows only documents for that horse
  • The documents hub — shows all documents across all horses and farm-level records

Filter documents by type, horse, or date range to find what you need quickly.

Document Details

Each document record stores:

  • Document type — one of the supported types listed above
  • Horse — the associated horse (if any)
  • Upload date — when the document was added
  • Expiration date — when the document expires (for Coggins, health certificates, insurance, etc.)
  • Notes — any additional context
  • File — the uploaded file itself, viewable directly in the app

Expiring Documents

Documents with expiration dates are tracked automatically. As the expiration approaches, the document appears in your dashboard attention items and generates calendar reminders so you have time to renew.
