Reminders

Automatic reminders from medical expirations, document renewals, foaling windows, and pregnancy checks.

HorseBook automatically generates reminders based on your records so important dates don't slip through the cracks. You don't have to set these up manually — they're created from the data you're already tracking.

How Reminders Work

Reminders are calendar events that appear on your calendar and in your dashboard attention items. They're generated when a date-sensitive record has an upcoming deadline.

Each reminder includes a link to the original record so you can take action directly.

Types of Auto-Generated Reminders

Medical Expirations

When a medical record has an expiration date (vaccines, Coggins tests, deworming treatments), a reminder is generated as the expiration approaches. This gives you time to schedule the renewal before coverage lapses.

Document Expirations

Documents with expiration dates — Coggins certificates, health certificates (CVIs), and insurance policies — generate reminders before they expire. Especially important if you travel to shows or across state lines and need current paperwork.

Foaling Windows

When a mare has a breeding date recorded and is confirmed pregnant, HorseBook calculates the foaling window at 320, 330, 340, and 350 days post-breeding. These appear on the calendar so you're prepared as the due date approaches.

Pregnancy Checks

Scheduled pregnancy check reminders help you stay on top of the recommended ultrasound and palpation schedule after breeding.

Event Status

Auto-generated reminders have a status that you can update:

  • Upcoming — the date is in the future
  • Completed — you've handled it (e.g., renewed the Coggins, completed the farrier visit)
  • Dismissed — you've acknowledged it but don't need to take action

Marking a reminder as completed or dismissed removes it from your dashboard attention items.

Reminder Lead Time

For manual events, you can set how many days before the event you want to be reminded. When you create or edit an event, set the Reminder field to the number of days in advance.

Auto-generated reminders use sensible defaults based on the type of record (typically 30 days for document expirations and 14 days for medical expirations).

Tip

Check the dashboard attention items regularly. It aggregates all upcoming reminders in one place, so you can see at a glance what needs attention this week.
