Expenses and Contacts
Track expenses from receipts or manual entry, and manage contacts with quick call and email actions.
HorseBook makes it easy to log expenses and keep your contacts organized directly from the iOS app.
Expenses
Receipt Scanning
The fastest way to add an expense is to scan a receipt. From the Scan tab, photograph a receipt from the feed store, vet clinic, or tack shop. AI extracts:
- Vendor — the business name
- Date — when the purchase was made
- Line items — individual items and their prices
- Total — the receipt total
- Category — feed, medical, farrier, equipment, or other
Review the extracted data, make any corrections, and confirm. The expense is created with the receipt image attached.
Tip
Keep receipts until you get home, then batch-scan them. Or scan on the spot — the whole process takes about 15 seconds per receipt.
Manual Entry
You can also add expenses manually from the Farm tab. Tap the + button on the expenses list and fill in:
- Amount
- Vendor
- Date
- Category
- Horse (optionally link to a specific horse)
- Notes
Viewing Expenses
The Farm tab shows your recent expenses with a monthly total. Tap any expense to view its details. If it was created from a scanned receipt, the original image is attached.
Expenses linked to a horse also appear on that horse's record.
Contacts
Contacts are the people involved in your horses' care — vets, farriers, trainers, breeders, haulers, and more.
Contact List
Access your contacts from the Farm tab. Each contact shows:
- Name
- Role (vet, farrier, trainer, breeder, agent, other)
- Phone number
Swipe Actions
Swipe on a contact to reveal quick actions:
- Call — tap to dial the contact's phone number directly
- Email — tap to open a new email to the contact
These swipe actions make it fast to reach your vet or farrier without leaving the app.
Adding a Contact
Tap the + button on the contacts list to add a new contact. Provide:
- Name
- Role
- Phone number
- Notes
Linking Contacts to Horses
Contacts can be linked to specific horses. For example, you might link a vet to the horses they regularly treat, or a farrier to the horses on their schedule. Linked contacts appear on the horse's Contacts tab in the detail view.
