Scan Your First Document
Use AI-powered scanning to digitize horse documents like Coggins tests, receipts, and health certificates.
HorseBook uses AI to read your horse documents and extract the important details automatically. Point your camera at a Coggins test, vet receipt, health certificate, or registration paper and the app does the data entry for you.
How AI Scanning Works
- Capture — the app takes a photo of your document
- Identify — AI determines what type of document it is (Coggins, receipt, health certificate, registration, etc.)
- Extract — AI reads the document and pulls out the relevant fields for that document type
- Review — you see the extracted data and can make corrections
- Save — confirm to create the record in HorseBook
The whole process takes about 10 seconds from capture to review.
Scanning on iOS
The iOS app is built around scanning. To scan your first document:
- Open the app and tap the Scan tab
- Point your camera at the document
- The app auto-captures when it detects a document — hold steady for a moment
- Wait a few seconds while AI processes the image
- Review the extracted information on the confirmation screen
- Make any corrections if needed
- Tap Confirm to save
You can also scan from your photo library if you've already taken a picture:
- Tap the Scan tab
- Choose Photo Library instead of using the camera
- Select the photo of your document
- The same AI extraction process runs on the selected image
Scanning on Web (Smart Upload)
The web dashboard supports the same AI extraction through Smart Upload:
- Go to your horse's record on the web
- Click Smart Upload or drag and drop a document image
- AI processes the document the same way as on iOS
- Review, correct, and save
Supported Document Types
AI scanning recognizes and extracts data from:
- Coggins tests (EIA) — lab, test date, results, accession number
- Health certificates (CVIs) — vet info, travel dates, origin and destination
- Registration papers — horse identity, pedigree, breed, registration number
- Vet receipts — vendor, amount, line items, date
- Vaccination records — vaccine type, date administered, next due
- Farrier receipts — service type, cost, date
Tip
If AI doesn't recognize a document type, it will still extract what it can and save the document as a general file attached to your horse's record. Nothing gets lost.
Tips for Good Scans
For the best AI extraction results:
- Good lighting — natural light or a well-lit room works best. Avoid harsh shadows across the document.
- Flat surface — lay the document flat on a table or counter. Curled or folded papers are harder to read.
- All text visible — make sure the entire document is in frame, including headers and fine print.
- Steady hold — keep your phone steady for a moment so the auto-capture gets a sharp image.
- One document at a time — scan each document separately for the most accurate extraction.
Note
AI extraction is very accurate but not perfect. Always review the extracted data before confirming, especially for critical fields like test results and dates.
What Happens After Scanning
Once you confirm a scanned document:
- The record is created and linked to the appropriate horse
- The original document image is stored as an attachment
- The extracted data is fully editable — you can update any field at any time
- The record appears in your horse's timeline and in the relevant section (medical, expenses, etc.)
